“ How can we help Loxam’s regional and agency directors predict and visualize permanent equipment transfers to improve efficiency?”
Objective: Designing and prototyping an internal dashboard that enables managers to predict and visualize equipment transfers, helping them optimize fleet distribution, reduce delays and increase operational efficiency.
Phase 1: Research
& Problem Definition
To design an effective monitoring system, we conducted in-depth research, including interviews with regional and agency directors, as well as an audit of existing processes and tools.
This helped us identify the following key pain points:

Managers had no centralized tool to see where equipment was located, availability status was not updated dynamically and decisions were often based on outdated spreadsheets or manual reports.

The transfer process relied on phone calls, emails, unstructured notes and managers had to compare multiple data sources manually, so the approving and tracking transfers took too long.

There was no predictive system to anticipate demand shifts based on project seasonality. Managers struggled to plan ahead, leading to overstocking in some locations and shortages in others.

The existing system did not provide clear data visualization (graphs, heatmaps, analytics). There was no way to apply custom filters or compare different locations at a glance.
Phase 2: Wireframing & Information Architecture
To structure the dashboard effectively, we mapped out the user journey and information hierarchy, and created low-fidelity wireframes to define the core functionalities before refining the interface.
Each dashboard appears at a specific point in the manager's career.
This timeline shows all points of contact between the user and LOX'Agency, as well as all actions relating to machine transfers.
Phase 3: Prototyping
& UI Design
Once the wireframes were validated, we designed the high-fidelity prototype in Figma.
We first created a design system that adhered to Loxam’s existing brand guidelines, ensuring visual consistency across all elements.
This included defining a color palette, typography, iconography, and UI components that aligned with the company’s identity while maintaining high readability and accessibility standards.

Before working on full-screen layouts, we developed and structured UI components for each category of data displayed in the dashboard. This component-based approach allowed us to create a scalable and flexible design, ensuring that future updates or feature additions could be easily integrated.
